Common AHCA citation areas in Florida ALFs
The areas of assisted living operations that most often need attention before a survey, and simple ways to stay on top of them.
Assisted living facilities
Assisted living facilities in Florida are licensed by the Agency for Health Care Administration (AHCA) under Chapter 429, Part I, Florida Statutes, and rule chapter 59A-36 of the Florida Administrative Code. During a survey, AHCA checks a facility against those rules.
Many citations do not come from poor care. They come from documentation that is missing, late or does not match what actually happens. Below are the areas that commonly need attention, and what you can do now.
1. Resident health assessments
Each resident needs a current health assessment on file. Surveyors look at whether it is complete, signed and done on time.
What to do now: keep a simple log of every resident with the date of their last assessment and when the next one is due.
2. Medication records
Medication administration records (MARs) are reviewed closely. Gaps, unclear entries and records that do not match current orders are common problems.
What to do now: spot-check a few MARs each week against current orders, and fix gaps the same day.
3. Staff files and training
Surveyors sample personnel files. They look for background screening, required training and current certificates.
What to do now: track every staff member’s required training and expiry dates in one place, and review it monthly.
4. Policies that do not match practice
A policy manual that says one thing while staff do another is a risk. Surveyors interview staff and compare answers with written procedures.
What to do now: pick one policy a month, read it with the staff who use it, and update whichever one is wrong: the policy or the practice.
5. The physical environment and postings
Required postings, emergency information, and the condition of the building are part of every visit.
What to do now: walk the building with a checklist once a month, the way a visitor would see it.
